Position Job Title: Purchasing Coordinator
FLSA Status: Non-Exempt
Job Location: Irvine (Office)
Position Summary
The Purchasing Coordinator is responsible for maintaining accurate contract information, managing purchase orders, and providing administrative support to the Purchasing department.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Review contract files to ensure all required documentation is included.
- Generate contract and change order checklists for the Contracts Coordinator.
- Create purchase orders for trade partners at each phase release and for change orders.
- Audit open purchase orders to ensure timely payment.
- Assist the Purchasing Agent with collecting documents during the bidding process.
- Prepare award letters for trade partners.
- Load approved sequence sheets into BuildPro for each project and phase.
- Track and ensure compliance with insurance requirements for all trade partners.
- Maintain lists of trade partners awarded by project.
- Upload signed scopes of work into BuildPro.
- Set up new communities in Rebate Pros.
- Draft and type routine correspondence, including letters and contract addendums.
- Answer and screen incoming calls, providing information or taking messages as appropriate.
- Model company values, vision, and operating principles.
- Assist Accounts Payable and trade partners with billing issues.
- File documents and maintain organized records.
Managerial Responsibility:
This position does / does not supervise other employees.
Position Qualifications (Education, Skills, Experience):
Education:- High School Diploma required; bachelor’s degree preferred.
Experience:- Minimum three years in an administrative support role, preferably within a purchasing department.
Skills:- Detail-oriented with strong organizational skills.
- Effective time management; ability to meet deadlines.
- Strong written and verbal communication skills.
- Flexible, able to prioritize tasks and multi-task.
- Proficient in Microsoft Windows, Word, Excel; Access experience preferred.
- Typing speed of 45 words per minute or higher.
- Proficient in 10-key operation by touch.
- Ability to work independently and collaboratively.
- Able to perform essential job functions according to company standards and practices.
Base Salary: The expected base salary range for this position is between $65,000 to $75,000 per year, depending on experience and skillset. Base Salary is paid bi-weekly, every other Friday. Additionally, this position is eligible for an annual bonus based on divisional and individual performance.
