Job Title: Sales & Marketing Coordinator

FLSA Status: Hourly Non-Exempt                                 

Position Summary: Effectively support all administrative duties for Sales, Marketing and Design

Job Duties:

General Administrative Responsibilities & Executive Support:
  • Provide support to the division’s Director of Sales and others as directed by assisting with correspondence, mailings, office meetings and outings, updating meeting notes and project schedules, prepare presentation materials and other tasks as directed.
  • Manage ongoing communications (mail, faxes, e-mail, telephone, etc.)
  • Collaborate with Corporate Marketing personnel for campaigns, website material, electronic communications (ecards), onsite, offsite and weekend directional signage, etc.  
  • Prepare various reports and spreadsheets and update meeting notes as necessary.
  • Maintain department files and update internal process documentation.
  • Interface with accounts payable and distribute invoices for approval and coding as needed.
  • Prepare contracts and contract addendums
  • Assist in preparation of budgets and research information to update budgets.
  • Oversee closing gifts, promotional items, and company branded merchandise orders.
  • Assist Director of Sales with neighborhood pricing documents.
  • Inspect models on regular basis for model maintenance, signage and flags
  • Manage model maintenance consultants and vendors.
  • Gather onsite content and photo releases for social media usage.
  • Utilize DSM to input preplot packages and other options prior to sales release
Event Planning & Grand Openings:
  • Brochure/invitation development.
  • Email blasts creation and approval.
  • Creative direction and accuracy approvals on collateral materials.
  • Coordinate printing and compile collateral handouts
  • Guest list management.
  • Onsite preparation.
  • Recruiting and organizing consultants.
  • Assisting with day-of activities.
  • Detailed management of entire event including food/beverage, entertainment, décor, and guest check-in.
Neighborhood Support:
  • Maintain brand standards online and onsite.
  • Sales Team support.
  • Weekend directional signage management for all neighborhoods.
  • Collaborate with Corporate Marketing personnel and coordinate neighborhood and model signage install and maintenance.
  • Review and facilitate featured residence weekly e-blasts for all neighborhoods.
  • Manage marketing collateral, including price sheet, flyers, etc.
  • Weekly review and management of neighborhood website pages for accuracy.
  • Manage production home staging and photography.
  • Sales office collateral ordering and management.
  • Coordinate Corporate Marketing and onsite sales and field teams on special projects.
  • Coordinate with Corporate Marketing to review website content, including production of digital renderings, interactive floorplans, site plans, virtual tours, etc.
  • Coordinates with creative marketing agency and all other marketing consultants/vendors.
  • Coordinates model photography, community, and model videos.
  • Coordinates the closeout of the model complex and sales offices at all completed communities.

Education

  • Bachelor’s Degree

Credentials/Certifications

  • N/A

Experience

  • 1-3 years of professional work experience
  • Real Estate development or similar professional experience preferred but not required
  • Experience assisting a senior level executive

Skills

  • Proficiency in handling multiple tasks and priorities.
  • Ability to work cooperatively with a variety of personality types.
  • Excellent written and verbal communication skills.
  • Must possess superior secretarial skills, organizational skills and follow through capabilities.
  • Ability to work with minimal supervision.
  • Computer literate with proficiency in Word, Excel and basic knowledge in Power Point.

Base Salary: The expected base salary range for this position is between $55,000 to $65,000 per year, depending on experience and skillset. Base Salary is paid bi-weekly, every other Friday. Additionally, this position is eligible for an annual bonus based on divisional and individual performance.
